From parent enquiry to academy visit: a clear response workflow
A useful response clarifies the next step without treating an enquiry as enrolment.
Answer the question asked
Sort enquiries by programme, age, branch, schedule, fees or visit. Answer the actual question first, then state what is needed for the next step. Do not request a complete child profile before it is necessary.
Close the loop
Say who will reply and when, and whether availability still needs confirmation. If a conversation ends without enrolment, use a clear status for respectful follow-up consistent with family preferences. Turn repeated questions into better listing information instead of sending the same vague answer to everyone.
A practical example
If a guardian asks about an age group that is not currently available, say so directly, then explain if a programme update date is known. Do not turn the enquiry into an “enrolment” or demand child data for an answer you can give immediately.
- Assign a responder
- Say whether a place is confirmed
- Review repeated questions
